A no-show costs more than the missed appointment. The slot was held, you turned other people away, and by the time you know, it is usually too late to fill it. For a salon, a photographer, a tutor or a guesthouse, a few of those a month add up to real money, in any country.

The simplest fix most businesses reach for is a deposit: a part payment when the client books, which comes off the final bill.

Why deposits work

Once someone has paid something, the booking stops being a maybe. They are more likely to turn up, and more likely to tell you in good time if they cannot. It also filters out people who were never serious.

How much to ask for

  • Keep it simple. A fixed amount or a percentage of the service, whichever is easier to explain in one sentence.
  • Match it to the risk. Long or expensive bookings, first-time clients and your busiest days justify a bigger deposit than a quick appointment for a regular.
  • Keep it fair. It should cover the cost of the empty slot, not punish the client.

Write the policy in plain words

Put it on your website, in your booking confirmation and in your reminder. Say:

  • how much the deposit is, and that it comes off the final bill;
  • how much notice a client must give to move or cancel;
  • what happens to the deposit if they cancel late or do not arrive.

In South Africa, the Consumer Protection Act lets a client cancel an advance booking, and lets the business charge a reasonable cancellation fee. Other countries have their own consumer rules on cancellations and deposits, so check what applies where you trade. Everywhere, the safe approach is the same: keep the policy reasonable, and tell clients before they pay, not after.

Make paying easy

The best time to take a deposit is the moment they book. Send a payment link on WhatsApp so they can pay in a minute, straight into your own account. Chasing a deposit days later is where most businesses give up.

Remind them the day before

A short WhatsApp reminder with the time, the address and a line about your policy does more than any sign on the wall. It also gives clients an easy way to move the booking instead of simply not arriving.

Be kind about the exceptions

Emergencies happen. Offering to move the booking once, rather than keeping the deposit, keeps a good client and still protects your time.
